Cancellation policy
Booking, Payment & Cancellation Policy (The Gamest Ever)
Deposit & Payment Authorization
To reserve your event date, a 25% deposit is required at booking.
By completing your booking, you authorize The Gamest Ever to charge your payment method for:
- The 25% deposit at checkout, and
- The remaining balance automatically 7 days before your scheduled event
Remaining Balance (Automatic Charge)
Your remaining balance will be automatically charged 7 days prior to your event date using the same payment method.
You will receive a confirmation email with your booking details, and your invoice will reflect the exact scheduled charge date.
Cancellations & Rescheduling (30-Day Policy)
You may cancel or reschedule your event up to 30 days before your scheduled event date.

More than 30 days before event:
Payments made will not be refunded, but will be issued as a credit toward a future event, valid for a rescheduled date (subject to availability). Credits must be used within 12 months of the original event date. -
Within 30 days of event:
Payments are non-refundable and non-transferable -
Rescheduling within 30 days:
We will do our best to accommodate one date change, subject to availability.
If a new date is not available, the booking will be treated as a cancellation within 30 days.
Late Cancellations & Refused Delivery
If delivery and setup are attempted but cannot be completed due to:
- Customer unavailability
- Refusal of delivery
- Inaccessible or unsafe setup location
- Same-day or last-minute cancellation
The booking will be considered fulfilled, and no credits or refunds will be issued.
Weather & Safety
If weather or site conditions create an unsafe setup environment, we may delay, pause, or reschedule service.
If rescheduling is required, we will work with you to select a new date based on availability.
Damage, Loss & Cleaning
By renting our equipment, you agree to return all items in the same condition provided (normal wear and tear excepted).
You authorize The Gamest Ever to charge your payment method for:
- Damage beyond normal use
- Missing or unreturned items
- Excessive cleaning (e.g., food, drink spills, mud, debris inside equipment)
